Cross Organization Work

The Jack Henry Digital group is made up of a number of organizations within Jack Henry; NetTeller, Geezeo, Bolts and Banno. We each bring our own unique approach to work, communication and collaboration. In a few cases parts of our team have access to tools that another part does not. As we continue to work together and grow some of these platforms may become more common across the entire group, but it is just as likely that many of these tools will remain limited to a specific part of the organization. This could be due in part to budgetary constraints or the challenge of supporting new tools across an even larger organization.

The challenge

  • How do we unify across our organization when we need to work together?

Though we may have individual or team preferences we do have platforms that we share in common. When we are working with teams from across the organization it is expected that we communicate and collaborate using tools common to all teams. …enter Microsoft Teams and Office 365.

  • create/move word documents, spreadsheets, etc. from Google Docs/Drive to Microsoft Office/OneDrive (ONLINE).
  • Email attachments shall die! We should no longer be attaching updated iterations of the same document to be sent back and forth in email. Instead documents/sheets/etc should be created natively on office.com from the browser. This will enable the quick access and sharing of these resources in Microsoft Teams or using the Microsoft One Drive portal.
  • Every temptation should be resisted of saving files locally. OneDrive and Google Drive both allow options for caching file locally to access when you are not connected to the internet. Ellaborate methods of backup are not required if we simply store all our files in the public cloud options approved for us by the Jack Henry organization.
  • Microsoft Teams (hallelujah chorus) is the best place to land conversations that require communication across organizations within Jack Henry. Slack now has the ability to launch MSTeams calls with simple slash command /teams-calls meeting. Once these are launched it’s very easy to add in other Jack Henry co-workers to the call.

If you don’t need to work across the organization then your team’s preferences for tools should guide where and how you work. This is not a prescriptive call for all teams to unify on one platform for all the things.

Helpful hints

The Google calendar availability of all Banno teams is available to all Jack Henry teams using office.com and vice versa from Google Calendar. However there are a couple caveats.

  • to see the banno calendars their @jackhenry.com email address must be used when inviting them to a meeting.
  • the calendar settings of some Jack Henry natives would need to be updated to allow for visibility
  • You’ll only be able to see free/busy when crossing these lines. You won’t be able to see the details of the appointments.
  • You can probably find a tool that syncronizes between calendars, but we don’t have one identified or prescribed. You’re welcome to use them, but you’ll also have to support it on your own.

MS Teams Communication

The Internet Solutions teams are adopting similar guidlines for Teams that Banno uses for Slack. All the teams will have channels under the Digital team. Some options to help you utlize Teams more effectively. Any JHA Digital team can create their team channel to help facilitate communication across our organization.

  • Pin channels for those teams you use most frequently.
  • Setting for Banner and Feed notifications can be done at the profile and channel levels.
  • Disabling notifications for “quiet hours” is available on the mobile app.

Sticky Wickets

There will be tools that may never reach full adoption across our Digital group, but instead be limited to the teams within a particular organization. The logistical and budgetary constraints are the primary blockers. If we were to attempt to changeover today our organization and Jack Henry’s IT support is not geared to work through the large influx of questions and help needed to onboard and manage these diverse solutions. Maybe one day, but not now. For the time being these tools will have limited access.
