Getting a Digital Mac

Important information for those getting a JH Digital Mac

Congratulations on your new Mac! Or condolences, if your old one experienced an untimely retirement. Either way, this guide will walk you through the general process for transferring to a JH Digital-issued mac. It references several other documents, please read through everything carefully and ping #org-ground-control with any questions!

Please note: If your role requires the use of the following: iAccess, Core Director, Episys, TechServe, or adjacent applications; you should not receive a Digital Mac. These applications are not mac compatible, and your department would have to fund a VDI setup. This is both not ideal, nor cost-effective. If you still wish to convert to a Digital mac despite this information, please speak with your manager about this.

Always go to #org-ground-control first. Only go to help desk if a Ground Control team member tells you to do so.

  1. Back up your old data: There is an already established article for data migration. If you have a lot of data locally saved, please start this process as soon as you are informed that you will be receiving a new mac.

  2. Shipping Details: Confirm your current shipping address and if it’s best to require a signature for packages with a Ground Control team member. (If porch pirates are particularly bold in your area, please opt-in for the signature requirement.) If you would prefer UPS to pick up your old mac from your house, let us know and we will help coordinate that! Please also advise Ground Control if your MacBook is warped anywhere near the trackpad, as we will need to send additional packing materials.

  3. Keep an eye on your email: You’ll receive an email with UPS shipping information including your tracking number and expected arrival time.

  4. Required reading: Please take time to read through the New Mac Setup Guide before unpacking your new Mac. We have lots of helpful info and troubleshooting guides available at docs.banno.com/mac-help if you would like further reading.

  5. Unboxing: Your new Mac will most likely come sealed in the original packaging. Have fun! If you are experiencing extreme temperatures, please allow your Mac to warm up/cool down to room temperature before powering on to prevent any unintended damage. A prepaid return UPS label will be in the box, set it aside for use later!

  6. Set up: Please refer back to the New Mac Setup Guide for this. Keep in mind that you should be able to reinstall anything you need from Self Service+. (Ex: Office365 products, Numbers, Firefox etc…)

  7. Packing up your old machine: There are a few things to keep in mind here. You will need to send back your old MacBook as well as its power cable (the old power cable cannot be safely used with the new Mac). Take cleaning and/or disinfecting wipe to the exterior of the MacBook, excluding the screen. Then power it down completely and either put it back in its original box (if you have it), or securely wrap it in the provided bubble wrap. Put it and the power cord back into the box, then use the provided return label by peeling off the backing and placing it directly over the old label.

  8. Drop off: Your old mac can be taken to any UPS access point or store near you, and dropped off for shipping. This needs to happen within 30 days of receiving the new machine, or it starts setting off automatic alerts for the endpoint management teams (Nobody wants to get those).   • Can I buy my old mac from JHA?
    • No, you cannot due to policies set by legal, HR, and security.
  • Can I keep using my old computer in addition to the new one?
    • No. Having multiple machines checked out to users can cause complications with inventory management, licenses, and liability.
  • Can I pick the color or configuration of my mac?
    • No, JH procures laptops in bulk, so all are the same color and configuration.
  • Can I keep my old charging cable?
    • It depends- if your cable component is in good condition and functional, it is fine to keep it. If your charging brick component’s voltage matches the voltage of the brick accompanying your new mac, then you can also keep it. If the voltage doesn’t match, or is lower than your new brick, then it needs to be returned with the old laptop. Utilizing inappropriate voltage when charging your mac can lead to battery degradation and early mac retirement.

Policies

These policies are to help both Ground Control and the team members who use the Digital Image. These policies are flexible within reason. As always, we encourage team members to reach out to us in #org-ground-control on Slack when they have questions or concerns about their Mac.

  • New Laptop Follow-Up Communications
    • Ground Control requests that you turn on your machine and begin setting it up during business hours within two weeks of receipt. If you fail to do so, a member of Ground Control will be checking in on you.

    • If you still have not begun to transition after 1 month, Ground Control may reach out to your manager.

We want to ensure that our collegues have the best working equipment possible. Not setting up your laptop promptly, during business hours, can result in frustration, or broken setups requiring Ground Control’s intervention.
